Mad Monday Microsoft Shortcuts

C5Shortcuts are all about minimising the amount of clicks required when working on our computers by not taking our hands of the keyboard to locate and grab the mouse to activate a command making our efforts more efficient.

We are aware that they exist, we all know and use a few and know how great they can be but no one knows them all or even a vast range because unless they are used regularly of course we will forget them.

Every Monday I will post a short cut with an explanation on Why and How to use it. Print it out and stick it up on your wall and try it for a few days. If you are still using it on Friday you can be guaranteed that you need this particular shortcut.

Control (Ctrl) P

You guessed it!

Ctrl P open the Print window which allows you to make specific print selections or simply Click Enter to send to printer this saves you taking your eyes of the monitor and fingers off the keyboard to grab the mouse and Click on FILE – PRINT with the mouse and saves

Control (Ctrl) N

Whatever Microsoft program you are in Ctrl N will open a NEW, a NEW worksheet in Word, a NEW Spreadsheet in Excell, A NEW email, Appointment, Task or Contact in Outlook.

This may not seem like a great time saver but coupled with others such as the Save As or Send or Print you can save a lot of time not having to use the mouse and take your hands and eyes of the Monitor.

Control (Ctrl) B / (Ctrl) I / (Ctrl) U

The Functions in the FONT sections of the Home Tab can be accessed via shortcuts and the most used are BOLD ITALICS and Underlined. This works in all Microsoft Suite programs, Word Excel, Outlook etc.

Ctrl B – BOLD

Ctrl I – Italics

Ctrl U- Underlined

Try using these shortcuts as you type to prevent the need to go back to high light and then activate the function. Just prior to typing the word or sentence that you want in bold hold down the Ctrl key and hit B, continue typing and when you have finished the word or sentence repeat to go back to normal print.

NOTE – To highlight without the mouse – Use the arrow key to get to the beginning of the block hold down the Shift Key and use the arrows to highlight.

 Ctrl C & Ctrl V

 

2 in one week, I know it is supposed to be One but there is no point learning one without the other, this shortcut works in ALL Microsoft Office Suite programs, Word, Excel Outlook etc

 

Copy & Paste can be achieved by both Right Clicking on your mouse and in the FONT section in the Home Tab but that means that you will have to take your hands off the keyboard and grab the mouse to complete this function.

 

HOW – High light the words you want to copy either by mouse or with the arrow keys,(hold down Shift and arrows will highlight) Then Ctrl C to Copy, arrow or Enter tot eh location you want to paste to and Ctrl V.

Control (Ctrl) Z

 

I can guarantee you that this Shortcut will become your best friend even more so than last week’s Ctrl Backspace. This shortcut works in ALL Microsoft Office Suite programs, Word, Excel Outlook etc

 

Image result for microsoft undo iconCtrl Z is the shortcut for UNDO, that little (backwards Arrow) in the top left hand corner.

 

WHY – instead of taking your hands of the keyboard to grab the mouse and locate the icon in the top left hand corner to click and replace your hands on the keyboard.

 

HOW –  A simple Ctrl Z and you have completed the UNDO function.

Control (Ctrl) Backspace

The Backspace button is a lifesaver and everybody’s friend as it gets us out of trouble time and again but only rids us of one character at a time. Ctrl Backspace on the other hand discretely gets rid of a WHOLE WORD at a time. Just like Magic.
